How travel agencies can stop losing WhatsApp enquiries: a simple CRM workflow

By AnyInfraTech Team · · Updated 12 Oct 2026

Ask any travel agency owner where their leads go and you'll hear: "WhatsApp, mostly. Some calls. Instagram DMs. The website form emails someone." Then ask how many enquiries from last month never got a second follow-up. Usually nobody knows.

You don't need a complicated system to fix this, just one place for every enquiry and a few rules.

Step 1: Every enquiry goes into one list

Whatever the source (WhatsApp, website form, Facebook or Google lead ad, phone call) it should land in one CRM as a lead with:

  • Name and WhatsApp number
  • Destination, dates and number of travellers
  • Source (so you know which marketing works)
  • Owner, the person responsible for this lead

Website forms and lead ads can flow in automatically. With the WhatsApp Business API, WhatsApp chats can too.

Step 2: A few clear stages

Keep the pipeline short:

  1. New: not contacted yet
  2. Contacted: first reply sent
  3. Quote sent: itinerary and price shared
  4. Negotiating: revisions, dates, hotels
  5. Booked or Lost (with a reason)

If a stage has no clear next action, it isn't a stage.

Step 3: Rules for speed and follow-up

  • First reply within 15 minutes during working hours, an instant auto-reply covers nights
  • Follow up a sent quote after 24 hours, then 3 days, then 7 days
  • Every lead marked Lost gets a reason: price, dates, chose competitor, no response

These rules are where most of the extra bookings come from, not from new marketing.

Step 4: Quotes and payments from the same place

When quotes, invoices and payment links come from the CRM, you can see which quotes converted and which are waiting for payment. Your team stops rebuilding the same itinerary in Word every time.

Step 5: Review weekly

Once a week, look at three numbers: leads by source, quote-to-booking rate, and reasons for lost leads. They tell you where to spend your marketing budget and what to fix in your offer.
