Property site visit follow-up: a WhatsApp plan for Dehradun builders and brokers
By AnyInfraTech Team ·
Ask any sales manager at a Dehradun project what hurts most and the answer is rarely "not enough leads". It is the Sunday morning when three families were booked for a site visit on Sahastradhara Road and one came. Or the couple from Noida who loved the sample flat, said "we'll discuss and call you", and never did.
Property site visit follow-up is the stretch between "yes, we'll come on Saturday" and the token amount. This guide sets out a plan that a small builder or a two-person broking office can run on WhatsApp, with a few rules on timing and tone.
If you still need more enquiries in the first place, start with our guide to real estate lead generation in Dehradun. This one assumes the enquiries are coming in.
Why buyers miss site visits in Dehradun
Most visits here happen on weekends. A good share of buyers drive up from Delhi NCR, Meerut or Saharanpur, or come in from Haridwar and Rishikesh. Plans change easily: traffic on the expressway, rain on the hill roads, a relative who wants to see a different locality first.
Then there's the address problem. A project off Shimla Bypass, in Doiwala or past Rajpur Road can be hard to find for someone who doesn't know the city. A buyer who gets lost for twenty minutes often turns around.
And buyers forget. They enquired on four projects in one evening, booked two visits, and by Saturday they can't remember which one was yours.
None of this is fixed by better ads. It's fixed by what you send between the booking and the visit.
Before the visit: confirm, remind, guide
Right after booking, send one WhatsApp message with:
- the date and time slot they chose
- the project name, your RERA registration number and a Google Maps pin of the gate, not the office
- the name and number of the person who will meet them
- a one-line note on parking
Keep it short. A buyer should be able to read it at a red light.
The evening before, send a reminder with a simple reply option: "Reply 1 to confirm, 2 to change the time." Someone who replies 2 is a rescheduled visit, which is far better than a missed one. Someone who doesn't reply at all gets a short call from the sales team.
On the morning of the visit, send the location again with the drive time from the main road or a landmark buyers know: a petrol pump, a school, a temple. For plots and farmhouse land, add a photo of the approach road.
One practical point on WhatsApp rules: once 24 hours pass since the buyer last messaged you, the official WhatsApp Business API only lets you start a conversation with a pre-approved template. Get your reminder templates approved by Meta before the weekend rush, not on Saturday morning. Our WhatsApp Business API guide explains how templates and pricing categories work.
During the visit: note what they said
The best follow-up message is the one that mentions something only that buyer said. "You liked the east-facing 3 BHK on the fourth floor" beats "Thank you for visiting".
So the person at the site should log three things before the buyer's car leaves the gate:
- Which unit or plot they liked, and what bothered them
- Budget and how they plan to pay (loan, own funds, selling a flat elsewhere)
- Who else decides, such as a spouse, parents or children abroad
A phone note works. A shared CRM works better, because the manager sees it too and nothing depends on one salesperson's memory. That is the core of the CRM and automation setups we build for property teams.
After the visit: the first 48 hours
Send a thank-you within a couple of hours, while the visit is still fresh. Attach only what they asked about: the floor plan of that unit, the payment plan, a loan EMI estimate if they mentioned a home loan.
Then make it easy to involve the family. Many Dehradun purchases are decided by people who never came to the site: parents in another city, a son in Bengaluru, a daughter in Dubai. A short video walkthrough of the exact unit, plus the location pin, gives the buyer something to forward.
The next day, ask one open question. "Did your parents get a chance to see the video?" works better than "Any update?"
After 48 hours: stay useful, not pushy
Some buyers decide in a week. Plenty take months, especially NRIs and people waiting to sell a property elsewhere. For them, a gentle rhythm works:
- A construction progress photo once a month for under-construction projects
- A message when a similar unit or a better-facing plot becomes available
- A note when bank rates or your payment plan changes, stated plainly with no pressure
Stop when they ask you to stop, and mark them as closed in your CRM. Respecting an opt-out keeps your WhatsApp number in good standing and keeps your brand decent in a city where people talk.
Anything that carries a price, offer or possession date has to stay inside what your RERA registration allows. Our RERA advertising checklist for Uttarakhand covers what to check.
Automate the routine, keep the human part
The confirmations, reminders, location pins and monthly updates are the same every time, so a system should send them. The call after a missed visit, the negotiation and the conversation with a worried parent should stay with a person.
We run this on our own platform. ILA Infra, our real-estate portal, sends visit-day reminders and an after-visit follow-up on WhatsApp, alerts buyers when a new listing matches a search they saved, and flags hot leads to the team. It runs on auton8n, our WhatsApp Business API platform, which builders and brokers can use for their own projects.
A short checklist
- Confirmation message with RERA number, gate location and contact name, sent right after booking
- Approved WhatsApp templates for reminders and after-visit messages
- Reminder the evening before with a reply option to reschedule
- Notes from every visit logged in one shared place
- Thank-you and the right floor plan sent within hours
- Monthly updates for slow deciders, with a clean opt-out
